Rental Terms
All vehicle rentals are governed by a Rental Agreement that you will receive upon booking confirmation or at the time of vehicle pickup. This document outlines the specific terms, conditions, insurance information, fees, and your responsibilities related to the rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Vehicle rental requirements:
- To rent a vehicle from Spalding Car Hire, drivers must be at least 21 years old, although age restrictions may differ based on the vehicle type. A valid, full driving licence, appropriate for the vehicle category, is required, along with proof of identification and current address. Valid payment details and a security deposit are also necessary, along with any other criteria outlined in the Rental Agreement.
Booking and Payment Process
- You can make bookings via our website, by telephone, or directly at our Dartford office. A deposit may be necessary to confirm your reservation. The total payment and security deposit are generally required upon vehicle collection. All prices are listed in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, processed securely through trusted payment providers.
Vehicle Pick-Up and Drop-Off
- At the time of collection, it is important to conduct a thorough inspection of the vehicle and promptly report any pre-existing damage. A vehicle condition report will be prepared and must be signed by both parties. When returning the vehicle, it should be in the same condition as it was when collected, allowing for reasonable wear and tear. Any new damage will be evaluated and may result in additional charges. The vehicle must be returned with the same fuel level as when it was picked up; otherwise, refueling fees will apply. Late returns may incur extra charges, so please notify us as soon as possible if you expect to return the vehicle after the agreed time. You are liable for any parking fines, traffic violations, or other charges that occur during the rental, along with an administration fee.
Insurance and Liability Terms
- All rentals from Spalding include basic third-party insurance. Comprehensive coverage details, along with any excess amounts, will be outlined in your Rental Agreement. Additional insurance options may be offered to help limit your financial liability. It is important to review these options thoroughly. You remain liable for damage or loss up to the insurance excess, unless you select additional coverage. Any damage resulting from negligence, misuse, or violation of these Terms will also be your responsibility, irrespective of insurance.
Cancellation and Modifications
Cancellation and amendment policies differ based on the type of booking and the notice period provided. For precise information, consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows could incur additional charges.
Prohibited Activities
Prohibited Vehicle Uses
- The vehicle must not be used for any unlawful activities. This includes racing, rallying, off-roading, or engaging in other dangerous practices. Transporting hazardous materials is prohibited. Sub-letting the vehicle or permitting unauthorized drivers is not allowed. Driving under the influence of alcohol or drugs is strictly forbidden. The vehicle should only be used for its intended purposes and within established passenger and weight limits. Operating the vehicle outside the designated geographical area requires prior approval.
Breach of these terms may lead to rental termination and fees.
Liability Limitations
To the fullest extent allowed by English and Welsh law, Spalding Car Hire will not be liable for any indirect, incidental, special, or consequential damages, nor for the loss of profits, data, or business resulting from your use of our services. The total liability for any claim is limited to the amount paid for the rental in the prior 12 months. This limitation does not apply to liability for death or personal injury resulting from negligence or fraud.

These Terms are regulated by the laws of England and Wales. Any disputes will be addressed exclusively by the courts in this jurisdiction.
